Why can't I see the records for all drivers in my organization?

The viewer's Home Terminal Access setting determines which drivers' records are displayed. If the viewer's Home Terminal Access is set to All Home Terminals, the viewer can access records for all drivers in the organization. If the viewer's Home Terminal Access is set to a particular home terminal, the viewer can access records for only those drivers who are currently assigned to that home terminal.

If a driver's home terminal is consistent with your Home Terminal Access setting and you still do not see his or her records, check your filter settings.

Adding a driver*

To add a new driver to the organization:

  1. Click the new button . This displays the Driver Detail page.
  2. Enter the driver's details.
  3. Click the Save button to save changes and return to the Drivers list page.

Importing a list of drivers*

The Import option allows an organization to enter multiple drivers into the system at one time.

A valid driver import file will have 14 columns and one or more rows of data.

Columns must be in this specific order:

Driver ID Required
Driver IDs must:
  • Be unique from all other User IDs and Driver IDs within the organization.
  • Be between 4 and 20 characters.
  • Have no leading or trailing spaces.
  • Be comprised of alphanumeric characters.
  • Contain no special characters except an en-dash (-), underscore (_), an at symbol (@), a comma (,), or a period (.).
  • Contain neither the driver's driver license number or social security number.
Last Name Required Last Names must be at least 2 characters and are limited to 30 characters. They can contain letters, numbers, periods, apostrophes, hyphens, and spaces.

* There is no uniqueness requirement for Last Names.

Middle Initial Optional Middle Initial is limited to one character and can only contain letters.
First Name Required First Names must be at least 2 characters and are limited to 30 characters. They can contain letters, numbers, periods, apostrophes, hyphens, and spaces.

* There is no uniqueness requirement for First Names.

Home Terminal Required Must match the name of a non-deleted home terminal already existing in your organization.
Primary Rule Set Optional If either Primary Rule Set or Secondary Rule Set is specified, it must match the name of a rule set already existing in your organization. If both are blank, a rule set of ELD EXEMPT will be assumed.
Secondary Rule Set may only be specified if all of the following are true:
  • Primary Rule Set is specified
  • Primary Rule Set is not ELD EXEMPT
  • The two rule sets are in different countries
Secondary Rule Set Optional
Auto-Apply Exception Optional If US 7-day property carrying or US 8-day property carrying is specified for Primary Rule Set or Secondary Rule Set, optionally specify one of the following values to enable the corresponding exception to be applied at driver login.

Editing a driver*

To edit the details of a driver already existing in the organization:

  1. If desired, specify one or more filters to refine your search.
  2. Locate the row containing the driver you wish to edit.
  3. Click the driver name link. This displays the Driver Detail page.
  4. Change the driver's details.
  5. Click the Save button to save changes and return to the Drivers list page.

Points to remember when editing a driver:

Deleting a driver*

When a driver leaves your organization, you may wish to delete the driver so that he or she is prevented from signing in to the application. The deleted driver will not appear in any selection boxes and will also no longer be included in any reports.

* Deleting a driver merely hides the driver's records; it does not remove the driver's records from the database.

Drivers may be deleted from the Drivers list page (one or more drivers at a time) or from the Driver Detail page (one driver at a time).

To delete an individual driver from the Drivers list:

  1. Make sure the Show All or Show Active filter is selected.
  2. Locate the row containing the active driver you wish to delete.
  3. Click the delete button to the right of the row.
  4. A pop-up will display asking for confirmation to delete the selected driver.
  5. If confirmed, this deletes the selected driver. They will no longer be permitted to sign in to a mobile device or the web application.

To delete multiple drivers from the Drivers list:

  1. Make sure the Show All or Show Active filter is selected.
  2. Locate the row(s) containing the active driver(s) you wish to delete.
  3. Check the checkbox to the left of each row.
  4. Click the delete button above the list to delete the selected driver(s).
  5. A pop-up will display asking for confirmation to delete the selected driver(s).
  6. If confirmed, this deletes the selected driver(s).They will no longer be permitted to sign in to a mobile device or the web application.

To delete a driver from the Driver Detail page:

  1. Click on a driver's name to display that driver's detail page.
  2. Click the Delete button located in the upper right hand corner of the Driver Detail page.

Restoring a deleted driver*

You can restore a deleted driver so that the driver can once again use the application and so that the driver's available records are included in reports.

Drivers may be restored from the Drivers list page (one or more drivers at a time) or from the Driver Detail page (one driver at a time).

To restore an individual driver from the Drivers list:

  1. Make sure the Show All or Show Deleted filter is selected to show both deleted and active drivers or show only deleted drivers.
  2. Locate the row containing the deleted driver you wish to restore.
  3. Click the restore button to the right of the row.
  4. A pop-up will display asking for confirmation to restore the selected driver.
  5. If confirmed, this restores the selected driver. They can again sign in to a mobile device and the web application.

To restore multiple drivers from the Drivers list:

  1. Make sure the Show All or Show Deleted filter is selected to show both deleted and active drivers or show only deleted drivers.
  2. Locate the row(s) containing the deleted driver(s) you wish to restore.
  3. Check the checkbox to the left of each row.
  4. Click the restore button above the list.
  5. A pop-up will display asking for confirmation to restore the selected driver(s)
  6. If confirmed, this restores the selected driver(s). They can again sign in to a mobile device and the web application.

To restore a driver from the Driver Detail page:

  1. Click the driver name link to display the detail page.
  2. Click the Restore button located in the upper right hand corner of the Driver Detail page.

Using filters to search for drivers

The total number of drivers displayed in the table may be reduced through the use of the Driver Filter and/or one or more page-specific filters.
The filters are live updating. The displayed list will change as filters are selected.
Click the filter button to hide or show the page filters, or click the close button in the filter pane to hide the filters.
Click the refresh button to manually refresh the list.

Customizing the list display

To configure which columns are displayed:
  1. Click the more button , then click Configure Columns.
  2. Click to deselect or select columns from the list shown. Click Reset to return the selection to the default settings.
  3. Click Save when finished. The page will update to display the new selections.
  4. Click Cancel to return to the list without saving any changes.
To change the order in which columns are displayed:
  1. Click the more button , then click Configure Columns.
  2. Click the more button , then click Configure Columns.
  3. Click and drag the handle button to the right of each column to change the display order. Click Reset to return the selection to the default settings.
  4. Click Save when finished. The page will update to display the new selections.
  5. Click Cancel to return to the list without saving any changes.
