Drivers
Topics in this section:
* An application user must have a user role with View/Modify
permission to the Resources feature to add, import, edit, delete, or restore a driver.
Related topics:
-
Driver - The name of the driver, shown in the format Last Name, First Name
-
Driver ID - Identifies the driver and is used by the driver to sign in and out
of the mobile application
-
Home Terminal - The home terminal to which
the driver reports for duty
-
Rule Set(s) - The primary and (optional) secondary HOS rules that are applied
when calculating availability and violations.
-
Status - Displays the status of the driver.
Active - The driver is active and permitted to access the mobile and web applications.
Deleted - The driver has been deleted and can no longer access the mobile or web applications.
The viewer's Home Terminal Access setting determines which drivers' records are displayed.
If the viewer's Home Terminal Access is set to All Home Terminals,
the viewer can access records for all drivers in the organization.
If the viewer's Home Terminal Access is set to a particular
home terminal, the viewer can access records for only
those drivers who are currently assigned to that home terminal.
If a driver's home terminal is consistent with your Home Terminal Access
setting and you still do not see his or her records, check your filter settings.
To add a new driver to the organization:
-
Click the new button . This displays the Driver Detail
page.
- Enter the driver's details.
- Click the Save button to save changes and return to the Drivers list page.
Points to remember when adding a driver:
-
The Driver ID must be unique. No two drivers or users in an organization may
share the same ID, even if they are assigned to different
home terminals. Uniqueness checking is case
insensitive and includes both deleted and non-deleted records.
-
A Driver ID cannot contain a driver's driver license number or their social security number.
-
Upon saving a new driver, a default password will be assigned automatically. The
password will be the first four letters of the driver's last name (or the complete
last name if it is four letters or fewer) combined with the last four digits of the
driver's CDL number (or the complete number if it is four digits or fewer). For example,
Driver John Smith, with CDL # CDL1234567 would have a default password of "SMIT4567"
(without quotes). Note also that all letters will be UPPERCASE in the default password.
-
You must add or import home terminals before
adding or importing drivers because all drivers must be assigned to an existing home
terminal. If all drivers in your organization are based in a single location, you
can create a single home terminal to which all drivers will be assigned.
The Import option allows an organization to enter multiple drivers into the system at one time.
A valid driver import file will have 14 columns and one or more rows of data.

To edit the details of a driver already existing in the organization:
-
If desired, specify one or more filters to refine
your search.

Points to remember when editing a driver:
- The Driver ID cannot be edited once the driver has one or more log events.
-
The driver's current rule set is used for all availability and violations calculations,
including the calculation of historical violations. If you view the Violations Report
for a driver, then change the driver's rule set and view the Violations Report again,
the results may be different, as the rules for calculating violations will have changed.
When a driver leaves your organization, you may wish to delete the driver so that he or she
is prevented from signing in to the application. The deleted driver will not appear in any
selection boxes and will also no longer be included in any reports.
* Deleting a driver merely hides the driver's records; it does not remove the driver's records
from the database.

Points to remember when using filters:
-
Multiple filters may be used in conjunction. For example, you can choose to view
deleted and non-deleted drivers in the selected driver filter
who have a Driver ID beginning with X.
-
Text-based filtering is not case sensitive, and partial matches are returned. For example,
filtering by First Name = JO or First Name = jo may return drivers named
Jo, Joan, John, or Joseph.
-
Text-based filtering starts searching at the beginning of a word and does not search
for matching letters inside of a word. For example, filtering by First Name = ray
would return drivers named Ray or Raymond, but would not return
Gray or Braydon.
